Terms & Conditions

Effective Date: June 30, 2026

Welcome to Sherpa Trailblazers. These Terms & Conditions govern your use of our website and the booking of our trekking, climbing, expedition, tour, and travel-related services. By accessing our website or making a booking with Sherpa Trailblazers, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

Booking Confirmation

A booking is considered confirmed only after we receive the required deposit or full payment, as specified during the booking process, and issue a written confirmation. Until confirmation is provided, availability of trips, accommodations, flights, permits, and other travel arrangements cannot be guaranteed.

All bookings are subject to availability and acceptance by Sherpa Trailblazers.

Payments

The payment schedule will be communicated during the booking process. The remaining balance, if applicable, must be paid before the commencement of the trip unless otherwise agreed in writing.

We accept payment through approved payment methods available on our website or communicated by our team. Any bank charges, transaction fees, or currency conversion costs are the responsibility of the customer unless otherwise stated.

Passport, Visa, and Travel Documents

Guests are responsible for ensuring they possess valid passports, visas, travel permits, vaccination certificates, and any other documents required for travel to Nepal and participation in trekking or climbing activities.

Sherpa Trailblazers is not responsible for delays, cancellations, or losses arising from incomplete or invalid travel documentation.

Travel Insurance

Comprehensive travel insurance is strongly recommended and may be mandatory for certain trekking peaks, climbing expeditions, and high-altitude adventures.

Your insurance policy should include coverage for emergency medical treatment, helicopter evacuation, trip cancellation, trip interruption, personal accidents, baggage loss, and other risks associated with adventure travel.

Guests are responsible for ensuring that their insurance policy provides adequate coverage for their chosen activities and maximum trekking or climbing altitude.

Health and Fitness

Many of our trips involve strenuous physical activity, high altitudes, remote environments, and changing weather conditions. Guests are responsible for ensuring they are physically and mentally fit to participate in the selected itinerary.

You must disclose any relevant medical conditions, allergies, medications, or physical limitations before the trip begins. Failure to provide accurate medical information may result in exclusion from the trip if your participation could pose a risk to yourself or others.

Our guides reserve the right to recommend itinerary modifications or evacuation if they determine that continuing the trip could endanger your health or safety.

Changes to Itineraries

Mountain travel depends on weather conditions, trail conditions, government regulations, transportation availability, natural events, and other circumstances beyond our control.

Sherpa Trailblazers reserves the right to modify itineraries, accommodations, transportation, guides, routes, departure dates, or trip schedules whenever necessary to ensure the safety and well-being of our guests.

Such changes do not constitute grounds for compensation or refunds when made for safety or operational reasons.

Cancellations by the Customer

If you cancel your booking, cancellation charges may apply depending on the timing of your cancellation and any non-refundable expenses already incurred, including permits, flights, hotel reservations, transportation, and third-party services.

Refund eligibility will be determined according to the specific booking agreement and applicable supplier policies.

Cancellations by Sherpa Trailblazers

We reserve the right to cancel or postpone any trip due to insufficient participation, severe weather, natural disasters, political instability, government restrictions, safety concerns, pandemics, or other unforeseen circumstances beyond our reasonable control.

Where possible, guests may be offered an alternative departure date, an alternative itinerary, or an available refund, excluding any non-recoverable third-party expenses.

Sherpa Trailblazers is not responsible for additional expenses incurred by guests, including international flights, visas, travel insurance, accommodation, or personal travel arrangements.

Assumption of Risk

Trekking, mountaineering, and adventure travel involve inherent risks, including but not limited to altitude sickness, changing weather, difficult terrain, rockfall, avalanches, landslides, wildlife encounters, transportation delays, and medical emergencies.

By participating in our trips, you acknowledge and voluntarily accept these risks.

Our experienced guides make every reasonable effort to minimize risks, but no adventure activity can be entirely risk-free.

Guide Authority

For the safety of all participants, guests agree to follow the instructions and decisions of Sherpa Trailblazers guides and expedition leaders throughout the trip.

Failure to comply with safety instructions, inappropriate behavior, illegal activities, or actions that endanger others may result in immediate removal from the trip without refund.

Guest Responsibilities

Guests are expected to respect local customs, religious sites, cultural traditions, environmental regulations, fellow travelers, guides, porters, and local communities.

Participants should travel responsibly by minimizing waste, protecting natural resources, and following Leave No Trace principles whenever possible.

Limitation of Liability

Sherpa Trailblazers acts as an organizer and coordinator of travel services. While we carefully select experienced guides and trusted service providers, we shall not be held liable for losses, injuries, delays, accidents, property damage, missed connections, illness, acts of nature, government actions, or other events beyond our reasonable control.

Our total liability shall be limited to the amount paid directly to Sherpa Trailblazers for the booked services, except where otherwise required by applicable law.
